Administrative Secretary

A newly established company in Istanbul. Our main business is food Sector. We are looking for a dedicated secretary to work with us. The company location is at 212 AVM offices in Mahmut Bey.

The working hours 09 Am to 6 pm and when no work at 5 pm
Essential Requirement for the applicants :

1. Fluent Turkish Langauge
2. English or Arabic Excellent speaking level.
3. Administrative skills.

Job brief
As a Secretary, you will assume the duty of clerical and administrative support in order to optimize workflow procedures in the office.
You will assist colleagues and executives by supporting them with planning and distributing information.
You will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce.

Responsibilities
Answer phone calls and redirect them when necessary
Manage the daily/weekly/monthly agenda and arrange new meetings and appointments
Keep the office good looking and clean
Responsible for the hospitality of the visitors
Prepare and disseminate correspondence, memos, and forms
File and update contact information of employees, customers, suppliers and external partners
Support and facilitate the completion of regular reports
Develop and maintain a filing system
manage and maintain budgets and carry out invoicing
sort and distribute incoming post and organize and send an outgoing post (this may involve the use of a franking machine)
*Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
*Check frequently the levels of office supplies and place appropriate orders
Make travel arrangements
Document expenses and hand in reports
Undertake occasional receptionist duties

  • Languages: English and Turkish, Arabic is also more preferred to have
  • Proven work experience as a secretary or administrative assistant
  • Excellent experience with using the internet and emails
  • Familiarity with office organization and optimization techniques
  • High degree of multi-tasking and time management capability
  • Excellent written and verbal communication skills
  • Integrity and professionalism
  • Proficiency in MS Office this includes the word, excel powerpoint outlook and office projects
